Material Traceability in OEM Manufacturing
When an OEM buyer specifies a material grade, receiving a product with the correct appearance is not enough. The manufacturer may also need to demonstrate that the finished component is connected to the material ordered, received and used during production.
Material traceability provides this connection through controlled identification and documented records.
What Does Material Traceability Mean?
Material traceability is the ability to follow the identity and relevant history of material through selected stages of the supply and manufacturing chain.
For metal fabrication, this may link:
- The purchase order for raw material;
- The supplier’s delivery and inspection document;
- The material grade and heat or batch number;
- Incoming material identification;
- Cut parts and work orders;
- The fabricated or machined product;
- Final inspection and delivery records.
Traceability does not automatically mean that every piece must be individually serialized. The appropriate level depends on the contract, product risk, regulatory requirements and production process.
Why Traceability Matters
Traceability helps manufacturers and buyers:
- Verify that the specified material was used;
- Review chemical and mechanical property information;
- Investigate a nonconformity;
- Identify potentially affected products;
- Support customer or regulatory audits;
- Control material substitution;
- Prepare manufacturing and quality records;
- Limit the scope of corrective action or recall.
Without adequate identification, materials of similar appearance can be mixed. Carbon steel, stainless steel and wear-resistant grades may be visually difficult to distinguish after cutting, blasting or fabrication.
Material Certificates and EN 10204
A material certificate is an important input, but it is not the entire traceability system. The certificate must be connected to the material received and then maintained through the relevant production stages.
EN 10204 defines types of inspection documents supplied for metallic products. It covers documents based on non-specific or specific inspection and applies to products such as plates, sheets, bars, forgings and castings. BS EN 10204:2004
Buyers frequently request a “3.1 certificate,” but the document type should be stated in the RFQ and purchase order. The required certificate may affect material availability, supplier selection, cost and lead time.
A typical inspection certificate may contain:
- Material manufacturer;
- Product description and dimensions;
- Material grade and specification;
- Heat or cast number;
- Chemical composition;
- Mechanical test results;
- Inspection authorization or validation.
The buyer should check whether the certificate refers to the specified grade, product form and applicable heat or batch.
Maintaining Identification During Production
Raw plate or bar may arrive with painted, stamped or tagged identification. Once it is divided into smaller pieces, the original marking may remain on only one section.
A traceability procedure may therefore require controlled transfer of identification before or after cutting. Depending on the product, methods can include:
- Durable marking;
- Tags or labels;
- Material maps;
- Cut plans;
- Job travellers;
- Batch containers;
- Barcode or digital records;
- Part or assembly serial numbers.
The selected method must remain legible and should not damage the material or interfere with the final product.
Traceability should also account for subcontracted processes where relevant. If a component is sent for machining, heat treatment, coating or testing, the supplier and manufacturer need a method to preserve the correct identity and return records to the appropriate job.
Traceability and ISO 9001
ISO guidance on documented information explains that, where traceability is a requirement, organizations retain evidence of the unique identification of outputs. This does not require maximum traceability for every product. It means the organization should apply and retain the level of identification needed by the agreed requirements.
Full, Batch and Limited Traceability
Buyers should distinguish among different levels:
Full traceability connects an individual finished product to its specific source material, relevant operations and records.
Batch traceability connects a group of products to one or more controlled material batches and production records.
Limited traceability may confirm the specified material grade without preserving an individual heat-number connection through every operation.
None of these levels should be assumed. The contract should define what must be traced and what evidence must be delivered.
Common Traceability Gaps
Frequent problems include:
- The RFQ requests a certificate only after material has been purchased;
- Material markings are lost during cutting or surface preparation;
- A certificate is available but cannot be linked to the finished part;
- Different heats are mixed without separate records;
- Equivalent material is used without approval;
- The final documentation contains inconsistent drawing revisions;
- Subcontractor reports do not identify the corresponding parts.
These issues are easier to prevent during planning than to reconstruct after fabrication.
What Buyers Should Specify
A material traceability requirement should identify:
- Material grade and standard;
- Required inspection document type;
- Heat, batch or individual-part traceability;
- Required marking method;
- Whether marking must remain on the finished product;
- Traceability of filler materials, fasteners or bought-out components;
- Required manufacturing and subcontractor records;
- Documentation format and retention period;
- Customer or third-party review points.
